Room Reservation Policies
- Anyone wishing to reserve space in the Education and Human Services Building must first complete a room reservation form with the Office of University Events. This form can be found at http://www.cmich.edu/x2270.xml.
- General policies covering use of the EHS Building are covered in the General Policies, Regulations, and Guidelines for the Use of University Facilities found on the University Events website.
- Rooms are reserved in the order in which requests are received, with consideration given to the group size/spaces available.
- Room reservations should be made at least one week in advance of the event. Rooms will not be held for requestors without the appropriate paperwork in place with University Events and the Building Coordinator, located in EHS 426, the Dean's Office.
- Requests are not finalized or should not be considered approved until you have received written confirmation.
- Regular access hours for the EHS building are Monday - Friday, 8:00 am to 10:00 pm, Saturday, 8:00 am to 5:00 pm and Sunday by special arrangement. Regularly scheduled classes CANNOT be moved out of their rooms to accommodate events. Any changes or problems with room reservations need to be discussed with the Building Coordinator. The responsible representative reserving the facilities must remain on site until the event/meeting is completed and all participants and/or vendors have left the building. That person will be responsible for the room and all of its equipment. Failure to leave the room in the same condition it was found may result in denial of future privileges or additional charges.
- A university faculty or staff member signature and account number are required for the meeting/event to be held in any room and must be supplied to University Events when making your reservation. Any incurred charges will be billed to the appropriate department or organization.
- Signage is the responsibility of the organization holding the event and must be approved by the CEHS Building Coordinator. Signage is not allowed on ANY walls, elevators, or glass. No tacks, pushpins, tape, staples, nails, hanging mechanisms or damaging fasteners are to be used to post materials in the building. Any damage to building or furnishings due to sign posting will result in additional charges made to the department or organization posting the materials.
- Cancellation notice must be given to University Events (3355) and CEHS (at 989-774-6995 email at ley1ja@cmich.edu) within 48 hours prior to the event. Failure to give proper notice to may result in a $25 fine or denial of facility use in the future.
Information Tables
Open areas of the building can be reserved for information tables following room rental request procedures at least one week in advance of the event. Tables may be used to provide information, promote, publicize, survey, fundraise, or recruit membership for recognized university groups. (Groups must submit a request for space and arrange for tables and chairs through University Events 989-774-3355). No classroom tables or chairs are to be moved into open areas for this purpose.
Technology or Other Equipment Needs
- Arrangements for early set ups and special room set ups should be made with the Building Coordinator one week in advance. CEHS does not possess additional furniture for meetings. It is your responsibility to contact University Events if you will need additional furniture or equipment for your event. CEHS will not be responsible for any charges incurred and our staff do not set up or move furnishing or furniture for your event.
- If training is needed in the use of the A-V equipment, make arrangements with the CEHS Technology Office (7878) prior to the event. CEHS staff is not available to operate A-V equipment during events. Contact University Events (x3355) or Media Services (x3891) if assistance in operating equipment will be needed during the event. There will be a charge assessed by University Events or Media Services. CEHS will not be responsible for any charges incurred.
- Changes or additions made to the original request affecting the reserved space should be communicated to the Building Coordinator 48 hours prior to the event.
Food/Drink Requirements
- Food and drink is not allowed in classrooms, laboratories or auditorium. It is the requestor's responsibility to enforce this policy and failure to do so may result in loss of future privileges and/or fines assessed.
- All catering arrangement in the building should be made directly with Classic Fare Catering. Groups using the facility will accept responsibility to protect the furnishing and furniture from damages. Food and beverages are to be removed upon the completion of the event by the caterer or the group using the facility. Failure to do so may result in denial of future privileges. If the group does not arrange for custodial services and does not clean up after its event, the department or sponsoring organization will be assessed a fee to cover the cost of clean-up.
General Policies
- All decorating plans in the facility and surrounding outside areas must be submitted in writing to the Building Coordinator and approved in advance. Nothing may be attached to the ceiling, light fixtures, sprinkler heads, walls, floors, woodwork or painted surface. All decorations must be removed by the sponsoring organization at the conclusion of the event. Confetti, rice, dance wax, or similar materials are prohibited.
- All participants are required to have the appropriate parking permits or make special arrangements for parking with the CMU Police.
- Any damage to the facility and/or equipment will be charged to the sponsoring organization or person, at a minimum charge of $25 or actual cost.
- No tape, glue, tacks, or nails are permitted on ANY walls, glass surfaces, or furniture. No open flame candles are allowed.
- All bulletin boards, showcases, and storage areas throughout the EHS Building are assigned by the EHS Dean's Office. Any items posted on these surfaces that are not directly related to the assigned group will be removed and discarded.
- The first violation of policies may result in a warning and/or possible fines. A second violation of policies may result in the denial of requests for building space for the rest of the academic year.
Liability
- Central Michigan University and the College of Education and Human Services and its staff cannot accept responsibility for damage to or loss of any merchandise, materials, gifts, favors, articles, or other items left in the building prior to, during, or following an event. University Events will answer questions regarding liability insurance coverage needs for events. CEHS is not responsible for lost or stolen items.
- Requests from non university groups for reservations will be granted based upon their relationship/connection to the University. CMU groups have priority over non-affiliated groups.
- All groups using University space are expected to adhere to the laws of the State of Michigan, all local and federal laws, and general policies, regulations, and guidelines of the Central Michigan University and the College of Education and Human Services. Failure to comply with these regulations may result in forfeit of the privilege of using University facilities.
