Travel Expenses

Below is a list of travel expenses CMU will cover as part of your sponsorship package. You will need to cover your expenses as they are incurred and then submit a CMU Reimbursement Voucher to Amanda Steffke after the symposium.  With the end of the fiscal year nearing, it is imperative that your voucher and supporting receipts are received either electronically or via mail by Friday, June 7th. Reimbursement will only occur if the appropriate documents are received by this date. Any costs beyond the described provisions will be your responsibility and are not eligible for reimbursement.

Local Participants

  • If you reside within 45 miles of CMU's Main Campus in Mt. Pleasant or Mt. Pleasant is your primary work location, travel reimbursement will not be provided for this event.

In-State Traveling Participants 

(located more than 45 miles from Mt. Pleasant)
  • Round trip mileage reimbursement from your residential address to the symposium location on arrival and departure days. Mileage will be reimbursed at the .58 cents per mile rate for 2019.
  • Participants will be provided with two nights lodging at the designated hotel, Courtyard by Marriott. Room and tax will be paid directly by the university. Any related incidentals will be your responsibility. To book your stay, please specify on the registration form which nights you are planning to stay at the hotel during the CAL Symposium.
  • Qualifying meals, that are not provided as part of the symposium, will be reimbursed at the CMU per diem rate.

Out-of-State Traveling Participants

  • Participants will be provided with two nights lodging at the designated hotel, Courtyard by Marriott. Room and tax will be paid directly by the university. Any related incidentals will be your responsibility. To book your stay, please specify on the registration form which nights you are planning to stay at the hotel during the CAL Symposium.
  • Reasonable transportation costs, including flight and economy rental car should be arranged through the HMHF Travel System.
    • Air transportation coverage is for economy travel (excluding any fees related to upgrading to ‘comfort seats’ or their equivalent).
    • Airfare costs through HMHF Travel will be billed directly to CMU, so these will not be reimbursed expenses.
    • When contacting HMHF Travel, identify yourself as a CMU instructor that will be traveling for the CAL Symposium.
    • To ensure you will qualify for the best rates, please purchase your tickets by Friday, May 3.
    • Due to the distance from area airports to Mt. Pleasant, cab service to and from the airport is not available and will not be reimbursed.
  • Rental car expenses can be booked through HMHF but will not be directly charged to CMU. HMHF still requires individual payment information. If you choose to book your rental car on your own, those expenses will also need to be covered by you in advance.
  • Airport parking fees will also be reimbursed. There is no charge for parking at the Courtyard Marriott and at designated lots near the symposium location.
  • Qualifying meals, that are not provided as part of the symposium, will be reimbursed at the CMU per diem rate.

Reimbursement Form Instructions

  1. Download the Employee Reimbursement Voucher.
  2. Please fill out your name, address, campus ID and phone number in the top right corner.
  3. Fill in your dates and times of travel.
  4. Under the Transportation Section, please confirm your mode of transportation, the dates, the departure and arrival locations and personal car mileage (if applicable). Please note: CMU’s 2019 rate of mileage reimbursement is .58 cents per mile.
  5. Document your total expenses in the bottom right corner and your reimbursement claim.
  6. Sign in the employee’s signature box.
  7. Please attach all receipts that are applicable. Reimbursements will not be granted without them.
  8. Submit your completed reimbursement to:
