CAM Vehicle Reservation
For your reference, please review the University Driving Information Website. Please pay special attention to the Vehicle Policy provided by Risk Management, specifically the Policy and Operation of Vehicle sections.
Important information
- ONLY CMU Faculty & Staff can drive the car or van who have a driving record check on file with Risk Management and the CAM Dean’s office.
- Only CMU Faculty/Staff/Students can ride in the CAM vehicles.
- IF A STUDENT(S) WILL BE RIDING IN THE CAM VEHICLES: There are a couple other forms that Risk Management requires depending on the trip details.
- Field Trip - Informed Consent Form (CAM Dean’s office needs a copy of this form.)
- Proposed Educational Trip Form / CMU Educational Trip Travel Log. (These forms are to be completed and sent to Risk Management for their records. Please contact Risk Management for questions.)
- PARKING: When a CAM vehicle is not in use, it needs to be parked on CMU's Campus in its designated parking space outside Moore Hall, on the south side, off Calumet Ct., unless it’s for an overnight reservation where you’ll be traveling and staying overnight for work purposes. If returning after hours and someone has parked in our designated CAM spots, please feel free to park the vehicle in Lot 33S or 33N off E. Campus Dr. (Please do not park the CAM vehicles in Pango Parking spaces).
- CMU’s Insurance: RISK Management has provided a copy of CMU’s insurance information. Each vehicle has a copy.
- GAS: CAM vehicles will have a full tank of gas upon departure.
- It is much cheaper to fill the tank up on campus. Someone in the Dean’s office will fill up the tank after you return to campus UNLESS you have been requested to do so otherwise. Please read your reservations details and plan accordingly.
- MAINTENANCE: If you have a maintenance issue, all departments are responsible for service, maintenance and inspection of the CAM vehicles. If a flat tire were to happen, for example, use your CMU business card to pay for services to get you back on the road. If you do not have a CMU business card, you will have to pay out of your own pocket and submit an expense report when you return to campus for reimbursement. CMU Insurance does not cover roadside assistance.
How to reserve a CAM vehicle
Requests are first come first served and at the Dean's determination.
Semester-long bookings are no longer permitted. Reservation requests are limited to six days/month.
Reservations will be accepted not more than four weeks prior to your scheduled event.
- Please make sure you have completed the Driving Record Check through Risk Management.
- Risk Management will send an email confirmation back titled "Driving Record Response". This process needs to be done each fiscal year (7/1-6/30).
- Please FORWARD this confirmation email to Christy Siler.
- Once this process has been completed, please complete the CAM Vehicle Reservation Form to request a reservation.
- You will then receive an Outlook calendar invite with detailed reservation information (populated from your completed reservation form).
- Your reservation confirmation will be added to your Outlook calendar including all the reservation details for future reference.
- If you need to cancel, you can decline the reservation from your Outlook calendar.
- If you need to adjust your reservation, please contact Christy Siler.
- If the car or van is NOT available, you will receive communication ASAP.
- COST CENTER/DETAILING FEE: Dean Campbell has approved a detailing fee to be charged to department cost centers for cleaning vehicles if they’re returned a mess for the next reservation. Please be kind and return vehicles cleaner than you found them. Thank you!

Who can reserve the CAM vehicles?
CAM Faculty, Staff, and GAs that have completed a Driving Record Check and have been approved by Risk Management. The use of CAM vehicles is strictly for university related business only.
How do I complete the Driving Record Check Form?
The Driving Record Check Form can be found on the Risk Management website.
How do I know if I’m an approved driver through Risk Management?
Risk Management will email you a Driving Record Response email. Once you receive that, please forward it to Christy Siler.
Does the CAM Dean’s office need the Driving Record Response email on file before making a reservation?
Yes. Your reservation will NOT be considered until we have the Driving Record Response email on file.
How often do I need to complete the Driving Record Check?
Driving Record Checks are valid from 7/1–6/30; therefore, you will need to complete a Driving Record Check each fiscal year.
Am I required to read CMU’s Vehicle Policy before reserving CAM vehicles?
Yes. It is a requirement as part of your reservation process to read the CMU Vehicle Policy.
Can students ride in the CAM vehicles with a faculty or staff member?
Yes. Risk Management will need two forms completed: (1) Informed Consent for Participation in Field Trip (a copy goes to CAM); (2) Proposed Educational Trip (a copy goes to Risk Management).
Who has authorization to ride in CAM vehicles?
Only CMU employees are permitted to ride in CAM vehicles. Exceptions are made for students with both completed Informed Consent for Participation in Field Trip Form and the Proposed Educational Trip Form on file, or individuals engaged in approved university-related activities.
When can I make reservations for the semester?
Per the Dean's directive, semester-long bookings are no longer permitted. This ensures fair, equitable access to vehicles for all faculty and staff across all four departments. Reservations will be accepted on a rolling basis, however, not more than four weeks prior to your scheduled event.
How many reservations can I make per month?
The dean has limited your reservation requests to six days/month.
How do I make a CAM vehicle reservation?
After you have completed the Driving Record Check and sent the Driving Record Response email to Christy Siler, you can proceed to the CAM vehicle reservation form.
Can I make an overnight reservation?
Yes. An overnight reservation can be arranged for a university business related recruiting trip and select approved university sponsored events to be approved by your chair or the Dean.
After submitting the reservation form, what can I expect next?
You will receive a Microsoft Outlook Meeting Invite to add your CAM car/van reservation confirmation to your Outlook Calendar. Please read the detailed information included in the invite regarding your reservation. If the CAM car/van is not available for your desired date, you will be contacted via email.
Where do I pick up the keys for my reservation?
CAM Dean’s Office in 129 Moore Hall
Can I pick the keys up the day before my departure if I’m leaving before office hours the next day?
Yes. We can arrange for you to pick up the keys the day before your departure during office hours. Your vehicle reservation information will have all the logistics listed for your reservation.
Can I return the keys the day after my reservation if I’m returning to campus after office hours?
Yes. We have installed a key lockbox outside the CAM Dean’s office, MO 129, for your convenience. You can drop the keys in the lockbox OR return them in person between 8a-10a the next day to allow staff time to prepare for the next reservation.
Where are the CAM vehicles parked on campus?
On the south side of Moore Hall in Lot 32 off Calumet Ct. CAM has two designated parking spaces for our vehicles.
What if, upon arriving back to campus, another vehicle is parked in the CAM designated parking spot?
If it’s during office hours (8a-5p), contact Campus Safety at ext. 3081 or Parking Services at ext. 3083. If it’s after business hours, please park the CAM car in Lot 33S or 33N off E. Campus Dr. Please let someone know in the CAM Dean’s office so we know where to find the CAM vehicle. DO NOT park the vehicle in a Pango meterd space, a Handicap space, or a non parking space.
Do I have to return the CAM vehicle with a full tank of gas?
CAM Staff will usually fill up the gas tank on campus for you. However, there may be times when you will need to return the car or van with a full tank. We will notify you when this is required. Please read all the details in your reservation confirmation added to your Outlook calendar.
If the CAM vehicle isn’t returned to campus as clean or cleaner than when it left campus, will my department cost center be charged a detailing fee?
Yes. Your department cost center will be charged a detailing fee if the interior of the vehicle reserved is left a mess for the next reservation.
Does CMU Risk Management provide State of MI Certificates of Insurance?
Yes. In both vehicles you will find a copy of the State of MI Certificate of Insurance.
What if I am involved in an accident while in possession a CAM vehicle?
If you need assistance during office hours, call Risk Management at (989)774-3741 or (989)774-3313. Risk Management has provided “What to do in case of accident” information as well as CMU’s automobile accident reporting policy, which can be found in both vehicles.
