Accepting payments online

CMU has the ability to set up departments to securely accept credit card payments online. An external payment page will be created and the link will be provided to you to share on your webpage or in any communication being sent out by your department.

To begin the process of creating the payment page, please fill out the Transact eMarket Site Request form. Once the form is submitted, it will be reviewed and you will be contacted regarding next steps. 

The request should be submitted as early as possible to ensure that your website is set up on time. It is preferred that this request is submitted at least 4-6 weeks before you would like to start accepting payments.

When it gets closer to your go-live date, you will receive an email with login credentials for the individuals you listed on the request form as needing admin access to run transaction reports. Training on how to use the admin site is available, if needed.

It is important that all individuals involved in accepting credit cards read and fully understand the policies and procedures related to credit card processing. Please review all documents on the Merchant Services website under Related Resources. 

Processing information

Various fees

Your department is responsible for the fees that are charged for accepting credit card payments. Departments are required to provide Payroll and Travel Services and Accounting Services a cost center to which the fees should be charged. 

  • Per Transaction Fee - Approximately $0.35 per transaction. A journal entry will be completed by Payroll & Travel Services on a monthly basis to charge the cost center listed on the request form. 
  • Service Fee - The University is charged a fee on all credit card transactions by the Credit Card Processor. The fee is 2.3% of the transaction amount for domestic cards and 4.25% of the transaction amount for international cards. These fees are automatically deducted from the cost center listed on the request form.

Batch settlement

Batches will automatically be settled at 11:45 p.m. each day. Any transactions made between 11:45 PM and 12:00 AM will be included in the next business day.

Acquiring your funds

Funds will automatically post to SAP in real time to the cost center and GL you listed on the request form.

Chargeback

A chargeback is a reversal of a previous sale transaction resulting when a cardholder or card issuer disputes a charge posted to their account. In the event of a chargeback, it is the responsibility of the department to respond back to the chargeback by the date provided on the report sent to you. You are required to provide information regarding the sale and any other supporting documentation to substantiate the claim. You should retain a copy of all correspondence for your files. It is also the responsibility of the department to process a journal entry to the corresponding account if the chargeback is settled in the cardholder's favor.
