Planning a Meeting or Event

Find resources, timelines, and information related to planning a meeting or event at CMU.

    Step 1: Download and complete the department space request form.

    Step 2: Send your completed space request form to PLAN@cmich.edu

    Step 3: Your request is given a unique event ID (Kx#)

    Step 4: University Events submits a request for academic space to the Office of the Registrar and/or to the building coordinator.

    Step 5: Receive the booking contract, review it, and return a signed copy.

    CMU Space Request Form

    Step 1: Submit your online request through the meeting/event request portal.

    Step 2: Review your ticket status through TeamDynamix

    Step 3: Your request is given a unique event ID (Kx#)

    Step 4: University Events submits a request for academic space to the Office of the Registrar and/or to the building coordinator.

    Step 5: Receive the booking contract, review it, and return a signed copy.

    Step 1: Download and complete the CMU Sponsor Form

    Step 2: Download and complete the department space request form.

    Step 3: Send your completed space request form to PLAN@cmich.edu

    Step 4: Your request is given a unique event ID (Kx#)

    Step 5: University Events submits a request for academic space to the Office of the Registrar and/or to the building coordinator.

    Step 6: Receive the booking contract, review it, and return a signed copy.

    Coordinated services

    Coordinated service work orders submitted by University Events after venue approval require a 3-week processing window. These services include:

    • Custodial/Building Services
    • Landscape Ops
    • Electrical
    • Catering
    • CMUPD
    • STT Security
    • Event Signage
    • Parking Services

    Event production process

      • Event reservation received by University Events
      • Event reservation reviewed by University Events
      • Consultation with the event engineering team

      • Production Plan assembled
      • University Events design diagram
      • University Events crew created

      • University Events team installation and venue setup
      • On-site walkthrough
      • Event rehearsal or soundcheck

      • On-site event management and risk triage
      • Manage facility
      • University Events runs the technology and engineering for event

      • Coordinate space restoration
      • Remove University Events assets from the venue

      • Review staff and equipment utilized
      • Receive critical event feedback

      • Create a final invoice with updated final charges
      • Recharge client(s) for vendor services
      • Recharge client(s) for on-campus services [External groups only]
