Welcome to the new guide for booking space at Central Michigan University. Learn how to use the 25Live online booking platform and check out new features and resources to help you plan a great event on campus!

A new home for campus activity

Thanks to a multi-year campus-wide initiative, 25Live now serves as the central space request platform and calendar for all activity across campus.

What's included in 25Live? Everything.

  • Academic and supplemental courses
  • Registered student organization activities and events
  • Departmental events and meetings
  • Intramural sports practices and games
  • CMU Athletics practices and games
  • Signature CMU events
  • Cross-campus and co-curricular events and programs
  • Recruitment and admission events and activities

  • Camps, conferences and clinics

Before you submit

To avoid overwhelming the new system, we ask faculty and staff to refrain from submitting all requests at once for fall 2025 and spring 2026 and instead submit space requests for your most upcoming events and meetings happening September - December.

Important notes

  • All PLAN forms submitted from May – August 28 are “grandfathered” in. The cap rule does not apply.
  • If you submitted a paper PLAN form, please search for your event using the event title listed on the PLAN form with the 25Live search feature.
  • If you cannot find your event from a previously submitted PLAN form, please email University Events and Events and Conferences Services for confirmation of your space request submission.
  • If you find your event, you should be able to edit (if needed). If you are unable to edit, please email University Events and  Events and Conferences Services for edit access to your event details page.
  • After submitting your event in 25Live, your event will be listed as “tentative” and will put a temporary hold on that space.
  • During the review of your event or meeting request, you may be contacted with questions, alternate spaces, and/or alternate dates/times.
  • Both tentative and confirmed space requests appear on the 25Live calendar.
  • After confirmation, you will receive an event "booking" contract via email. Please read, sign and email back to complete the request process.
  • Supplemental classroom space requests do not require an event contract. They are approved by the Registrar’s office in 25Live.
  • Looking to find the right space for your event? 25Live lists spaces that are free to book within the date and time you select within the event form.     Course-related supplemental classroom space | Now open

    Course-related supplemental classrooms are faculty requests for additional classroom space(s) for an academic course.

      Tabling |Now open

      Promoting information at a table in a campus building. One six-foot table is provided in the UC Bovee Center. A six-foot or eight-foot table is provided in the Student Activity Center.

      Departmental events | Opens September 26 

      • Events hosted in one building in single or multiple rooms
      • Events which require event services (example: catering, custodial services)
      • Events that require additional approvals

      • One event per week. (multi-day events are included. Example: A two-day career fair)
      • Minimum 21-day lead time.
      • Fulfill requirements of event service providers.

      Special events | Opens September 30

      • Events requiring event service confirmation and approvals from campus event service providers. Examples of event services: Event parking, police security, facilities management, OIT on-site support, special event furniture rentals and setup/teardown support.
      • Events that require specialized venues (theaters, halls, atriums, auditoriums)
      • Events with external event/conference partners
      • Events with external guest speakers
      • Events that involve insurance and contract approvals (examples: therapy dogs, inflatables and 3rd party vendors)

      Approval guidelines

      • 2 special events per semester per department
      • Minimum 21-day lead time
      • Fulfill the requirements of special venue or space guidelines
      • Fulfill requirements of event service providers

        Express scheduling | Now open

        Express scheduling is a scheduling option in 25Live. With express scheduling, you can book meetings in spaces across campus automatically in select rooms.

        The new express scheduling feature comes with automatic approval and does not require any lead time. Please check to see if your meeting meets the express scheduling criteria in the step-by-step procedure documents below.
